Send an Event Reminder (Instructors)
Send a templated email reminder to your registered attendees with event date, time, location, and other key details.
🎓 This article is for instructors.
An Event Reminder is a templated email you can send to all attendees who have registered for your event, reminding them of the date, time, location, and other pertinent details. Sending reminders helps increase attendance, minimize no-shows, and keep attendees engaged in the days leading up to your event.
📝 Note: The "From" address on the reminder email is your CEU Events account email — the same email associated with your instructor account. Attendees who reply to the reminder will reply directly to you.
When emails are sent
The CEU Events system processes outgoing emails at three intervals each hour: :00, :20, and :40. After you submit a reminder, it's queued and sent at the next available interval. If timing matters for your reminder, plan to submit a few minutes before one of these intervals.
Before you begin
- You must be logged in with an instructor account.
- The event must already be scheduled and have at least one registered attendee.
- Make sure your event details are accurate. The reminder pulls the current event details — so if you need to update anything, edit the event first, then send the reminder.
How to send an Event Reminder
- Sign in to www.ceuevents.com using your instructor account credentials.
- Click on the Events menu.
- Locate the event you want to send a reminder for and click on it.
- Click the Share icon.
- Click Send.
- Choose Event Reminder from the options.
- Click Submit to send.
Your reminder is now queued and will be delivered to all registered attendees at the next email processing interval (:00, :20, or :40).
What attendees receive
Each registered attendee receives an email with:
- The event date and time
- The event location (or webinar details for virtual events)
- Other pertinent event details
The email comes from your CEU Events account email address, so attendees can reply directly to you with any questions.
Best practices
- Send reminders 24-48 hours before the event. Too early and attendees forget by event time; too late and they may have already made other plans.
- Verify event details before sending. The reminder pulls the latest event details — if you've made recent changes, confirm they're correct before triggering the reminder.
- Don't over-send. One well-timed reminder is more effective than multiple reminders, which can feel like spam.
- Combine the reminder with outreach to unregistered invitees. Reminders only go to people who've already registered. If you have additional invitees who haven't registered yet, share the Event Invitation Page URL directly — see Retrieve an Event Invitation Page URL.
- For webinars, consider a closer reminder. A reminder 1 hour before start time helps attendees find the webinar link and join on time.
Troubleshooting
- You don't see "Event Reminder" as an option after clicking Send. Confirm the event has at least one registered attendee. Reminders are sent to registered attendees only — if no one has registered yet, there's no one to remind. Share the Event Invitation Page URL to drive registrations first.
- The reminder hasn't been delivered yet. Emails are processed at :00, :20, and :40 each hour. Wait until the next interval after submitting and check with attendees. If reminders aren't arriving after multiple intervals, contact CEU Events support.
